Travel Specialist
Job Purpose:
Travel Specialist handles travel arrangements for individuals, groups and organizations, including scheduling flights and ground transportation, booking accommodations, restaurant reservation, meet & greet, visa processing and handling all other services, both internal and external clients may require.
Tasks & Responsibilities:
- Manage travel arrangements as required for internal and external clients:
1- Planning and managing travel arrangements such as hotel bookings, airline flights, ground transportations and etc. as per company travel policy for internal clients travelling in business trips.
2- Planning and managing travel arrangements such as hotel bookings, airline flights, ground transportations and etc. as per staff requirements for internal clients travelling in personal trips.
3- Analyze and study the flights of the external client and recommend the best hotels, ground transportation and other services as per Travel Department policy and procedures. - Handles emails and telephone calls within the agreed service agreement.
- Maintaining and updating the Sales Report in all services for both internal and external clients for Travel Billing Records purposes.
- Analyzing and checking all requested services through OCC Team if HOTAC is required as a Sales Lead.
- Maintaining and updating the Sales Lead for Sales Report.
- Accurately prepare Travel shift handover and communicate and make a briefing to the next shift colleagues.
- Process payment and forward all the related invoices to Accounts Department and communicate if there is any discrepancy and disputes.
- Ensuring all hotel, ground transportation proposal to materialized and zero lost bookings.
- Maintaining commission and refund records for Accounting purposes.
- Escalation of customer complaint to Travel Supervisor/Travel Manager.
- Safekeeping Travel System credentials and database.
- Maintaining and updating client instructions database and folders.
- Responsible for safekeeping Click corporate credit cards to avoid misuse and fraudulent transactions.
- Maintaining and safekeeping of Click Aviation and Clients passports and important documents.
- Responsible for pre-flight and post-flight monitoring.
- Escalate corporate rate loading issues, corporate rate discrepancy and new potential suppliers to Travel Vendor Coordinator.
- Deputize for the Travel Supervisor in his/her absence.
- Influence the decisions by providing feasible option to all operational units to enhance and improve performance in order to meet standards set.
- Coordinate and collaborate with OCC, Commercial & Accounts Department.
- Act as a role model as expected by Click Aviation Network, both to customers internal and external and to own team.
- Represent Click Aviation Network externally and internally in the best interests of the company.

Experience:
- He/she must have at least 2 years’ experience working in a travel environment.
- Proven experience in well-known travel agency.
- Experience in Airline ticketing and hotel booking.
Qualification:
- Degree in Travel (desirable).
- Travel experience and knowledge of booking system, loyalty programs in travel industry.
- University degree (desirable).
